One of the core features of BenchLocker is tracking required paperwork for both players and staff. These reports help administrators review, approve, or reject uploaded documents in real time β ensuring everyone is eligible to participate.
ποΈ Types of Documents in BenchLocker #
BenchLocker supports two main types of documents:
β Required Documents #
These are organization-defined requirements that must be fulfilled before a player or staff member is considered compliant. Examples include:
- USA Hockey Numbers
- Birth Certificates
- SafeSport Certifications
- Medical Forms
- Insurance Cards
These are often required across an entire team or program.
π General Documents #
These are optional or case-by-case uploads β not required by the whole team, but still important. Examples include:
- Medical clearance after an injury
- Travel waivers for a specific tournament
- Allergy or medication documentation
- Proof of school enrollment for eligibility
These documents are tracked but are not tied to compliance requirements.
π How the Approval Workflow Works #
As players or staff upload documents, they enter a “Pending” state. Admins can then review each submission before itβs marked as complete.
π Pending Document Report #
This report shows all uploaded documents awaiting approval. For each submission, youβll see action icons:
Icon | Action |
---|---|
π€ Blue Person | View the playerβs profile page |
ποΈ Blue Eye | Preview the uploaded document |
β Green Check | Approve and mark the document as complete |
ποΈ Red Trash Can | Reject the document (e.g., if blurry, expired, or incorrect) |
π Pending Requirements Report #
This report works similarly, but itβs focused specifically on documents that fulfill Required Requirements (e.g., SafeSport or USA Hockey).
It uses the same set of action icons:
- π€ View Player
- ποΈ View Document
- β Approve
- ποΈ Reject
This makes it easy to stay compliant and keep your team organized β whether you have 10 players or 1,000.
